Privacy Policy

Reel4Life helps people gather memories of someone they care about and turn them into a film and a photo book. Those memories are personal, sometimes very personal, and we treat them that way. This policy explains what we collect, why, who helps us, and the choices you have. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth).

What we collect

If you organise an event

• The details of the event: the occasion, the name(s) and photo of the person it's for, dates, and any note you add.
• The names, email addresses and relationships of people you invite. You choose who to add; if you pick them from your phone's contacts, only the people you select are sent to us.
• Messages you send to contributors, and your purchases (we receive a confirmation from the App Store or Google Play, never your card details).

If you contribute

• Your name, and optionally your email address and how you know the person.
• What you share: videos, voice notes, photos (including the date they were taken, if your phone recorded it), captions, stories and quotes. Voice notes and videos are transcribed so they can be captioned.
• Your choices about where it may be used (the film, the book, your name) and messages you send the organiser.

Everyone

• An account identifier. You can use Reel4Life without signing in; if you sign in with Apple, Google or an email code, we keep that sign-in and your email address.
• Your device's push notification token, if you allow notifications.
• For invite emails: whether the email was delivered, opened (using a small image in the email) and whether the link was tapped. The organiser sees this so they know who to remind. Some email apps load images automatically; we label those opens as automatic.
• Basic technical logs (IP address, time, app version) kept for security and troubleshooting.

If you order a printed book

Your name, delivery address, email and phone number, used to print and deliver the book. Payment is handled by Stripe; we never see or store your full card number.

How we use it

• To run the service: collecting memories, making the film and book, showing organisers who has contributed, sending invites, reminders, replies and receipts.
• To choose and arrange the moments in the film and book. We use AI models (Anthropic's Claude, running in Amazon Web Services' Australian region) to describe photos, understand the tone of stories, and plan the film and book. The AI chooses and orders; it never makes up memories, and every quote in the film or book is the contributor's own words.
• To keep people safe: automated checks flag images that may be inappropriate, and people can report and block others.
• To comply with the law and resolve disputes.

We don't sell personal information, we don't use it for advertising, and we don't use your memories to train AI models.

Who can see what

• The organiser can see everyone's contributions and the invite status of each person.
• Contributors can see what they shared, and messages between them and the organiser.
• The finished film and book include contributions according to each contributor's choices. The organiser decides who they share them with. If a contributor allowed their memory in the book, family and other contributors may order printed copies.

Who helps us

We use trusted providers to run Reel4Life. They process information only on our instructions:

• Amazon Web Services (hosting, storage, email, transcription, image checks; Sydney, Australia)
• Anthropic's Claude models via Amazon Bedrock (Australian region)
• Apple and Google (app stores, sign-in, purchases, notifications) and RevenueCat (purchase records)
• Expo (delivering push notifications)
• Stripe (book payments) and Prodigi (printing and posting books, from the lab nearest the recipient, which may be outside Australia)

Some providers may process information overseas (for example, a book posted to the UK is printed in the UK). Where they do, we take reasonable steps to ensure it is protected consistently with the Australian Privacy Principles.

How long we keep it

• Events and their memories are kept until the organiser deletes the event or their account. Preview versions are deleted automatically after 30 days.
• If an event hasn't been used for 12 months, we may move its original files to archive storage after emailing the organiser.
• Order records are kept as long as the law requires for tax and accounting.

Your choices and rights

• Change or remove what you shared: edit or delete your memories any time from the app or your invite link.
• Unsubscribe: every invite email has a link to stop emails about that event.
• Delete your account: in the app under Settings → Delete account, or see how to delete your account. This deletes events you organise and everything in them.
• Access or correction: email us and we'll respond within 30 days.
• Complaints: contact us first. If you're not satisfied, you can contact the Office of the Australian Information Commissioner (oaic.gov.au).

Children

Reel4Life is not directed at children under 16. Events may celebrate a child (a new baby or a birthday) and include their photos, which are shared by the adults organising and contributing.

Security

Data is encrypted in transit and at rest. Media is private by default and reached only through short-lived links. Access within our team is limited to what's needed to run and support the service.

Changes

If we change this policy in a way that matters, we'll tell you in the app or by email before it takes effect.
